The new Toyo coop policies have been posted onto the support site. There are not a lot of changes however it should be reviewed in detail.
With the ever-expanding presence of online advertising, there has been a sharp increase in its use. Campaigns that include Google AdWords, video pre-rolls, email blasts and of course banner ads are very popular.
Unfortunately, the industry has not created the reporting needed to submit a coop claim. In fact, after several conversations with Google, it was not clear that they understood the concept of Coop.

All coop claims must be accompanied by documentation that proves the campaign had run, where, by whom and at what cost. This applies to all forms of advertising from print, to radio, to billboards etc.
The difficulty seems to be that the reporting of a campaign, or the planning of this report, is left to the person submitting or running that campaign. If it is not planned properly, it could be mixed in with other campaigns and poorly reported to the point the dealer cannot prove that Toyo ad material had been advertised.
Here is a brief outline of what is needed when submitting an online claim.
The invoice must be from the media source, not a reproduced invoice from an agency. So, if you are running a Google AdWords campaign, a copy of the Google invoice must accompany the claim. If it is a Facebook banner ad campaign, a copy of the Facebook invoice must accompany the claim.
In turn, if you are running several different types of ads for several different products or manufacturers, be sure that the Toyo campaign is separated so it can easily be extracted and reported. The dealer or their agency would have to check with each media source to ensure how to do this properly.
The reports need to clearly show what was advertised e.g., banner ad, video etc. If they cannot show this, then they must provide an affidavit signed by the media’s signing authority. The affidavit should confirm what was run, when and how much was charged, and on which invoice(s).
If it is a non-Toyo supplied campaign, be sure to ask for pre-approval. And once you have pre-approval, be sure to save the email and attach it with your coop claim. Best practice is to print as a PDF.
When the claim is submitted, the dealer is requesting money. The responsibility to prove what is to be reimbursed is on the tire dealer themselves. Hopefully, by following these quick tips, or asking your Toyo Tires representative, it will be easy to submit any online claim.
Just remember … the better the pre-campaign planning … the easier it should be.
